Job Description

Adams and Martin Group is seeking a Legal Assistant who combines the responsibilities of a secretary and paralegal to support attorneys across both Litigation and Trusts & Estates matters. This role is ideal for a highly organized, proactive professional with strong court-rule knowledge who thrives in a fast-paced, team-oriented environment.

Key Responsibilities & Requirements

  • Support civil and commercial litigation work, including preparing, proofreading, e-filing, and serving pleadings, motions, discovery, and hearing notices across multiple jurisdictions.
  • Manage litigation calendars and deadlines through Law Toolbox; schedule depositions, hearings, remote appearances, and mediation.
  • Assist with document review and productions using e-discovery platforms (Lexbe, Disco, or similar), and support trial preparation including exhibits, witness files, and jury instructions.
  • Provide Trusts & Estates support, including client screening calls, preparing estate planning documents, creating binders, and drafting/recording deeds and PCORs.
  • Handle general legal administrative support such as scanning, file maintenance (iManage), conflict checks, new matter setup, attorney calendars, travel arrangements, CLE tracking, and expense reports.
  • Prepare, revise, and format correspondence, engagement letters, memoranda, and other legal documents; ensure accuracy and consistency in all work product.
  • Enter and reconcile attorney time, coordinate billing with Accounting, and communicate with clients as needed.
  • Maintain confidentiality, demonstrate professionalism, and collaborate effectively with multiple attorneys and staff.
  • Requires strong proficiency in Microsoft Office, Adobe Pro, iManage (or similar DMS), Best Authority, and experience with remote discovery exhibit tools.
  • ABA-approved paralegal certificate preferred, along with experience supporting active litigation practices and knowledge of court rules and filing procedures.
